Reports to:             Director of Business Services          

Contract Terms:  12 months

JOB SUMMARY

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

·         Financial administration and reporting of Federal, State and privately funded projects and programs.

·         Manage and communicate compliance and reporting requirements with stakeholders, assisting with grant related budget development, grant accounting and budget analysis.

·         Maintain and monitor the annual financial/business reporting calendar related to district grant reporting requirements.

·         Collaborate with senior management and district staff on grant project plan development, needs assessment, district policy, accounting requirements and risk management.

·         Preparation and timely submission of grant applications and reports.

·         Development and adjustment of associated budgets, general ledger accounting, coordination of budgeted funds, processing requests for expenditures and ensuring the timely application for reimbursement from State or external granting agencies.

·         Assists in evaluating the fiscal administration of grant programs and oversees the preparation and timely submission of grant applications, application amendments, reimbursement request and budget transfers.

·         Reviews direct and matching expenditures, budget variances and recommends and journalizes necessary adjustments.

·         Monitors programs funded by grants to ensure compliance with grantor guidelines and serves as a liaison with principals and other departments on issues regarding grants.

·         Ensures compliance with the rules and regulations administered by the grantor and oversees special audits conducted by grantor.

·         Assists externally-funded program directors/staff int the financial administration of such programs to ensure compliance with the rules and regulations administered by the grantor and compliance with district and granting agency requirements.

·         Coordinates year-end grant related accounting and reporting activities and reconciles the year-end receivables and fund balances to granting agency reports.

·         Prepares indirect cost and matching fund analysis and reconciles financial reports to the district’s accounting system.

·         Acts as a grant accounting liaison to external auditors pertaining to Financial and Single Audit requirements and prepares all audit reports and schedules.

·         Develops and proposes various grant related accounting/reporting procedures and coordinates, reviews, and/or prepares all financial reports required by granting agencies.

·         Maintains knowledge of the Arizona Uniform System of Financial Records, relevant Generally Accepted Accounting Principles, Uniform Grant Guidance, and Generally Accepted Auditing Standards.

·         Performs other duties as assigned/required.

 

 

MINIMUM EDUCATION AND/OR EXPERIENCE:

·         3 years or the equivalent experience in budget or grant accounting

·         Demonstrated team leadership, grant management, and stakeholder coordination skills.

·         Excellent communication skills (verbal, written, and presentation).

·         Results oriented with a demonstrated ability to produce specific and measurable results.

·         Excellent personal relations and communication skills.

 

PREFFERED EDUCATION AND/OR EXPERIENCE:

·         Bachelor’s Degree in accounting, Business, or related field

·         Any equivalent combination of experience and education, from which comparable knowledge, skills, and abilities have been achieved may be acceptable.

·         Experience working in an educational or governmental business environment.

 

KNOWLEDGE, SKILLS AND ABILITIES:

 

Knowledge of:

  • Comprehensive knowledge of Federal and State grant reporting requirements and practices.
  • Training development and delivery experience.
  • Knowledge of quality tools and models, benchmarking practices and techniques, statistics and financial analysis.
  • Knowledge of applicable Federal and State statutes, rules, polices, and procedures.
  • Knowledge of applicable District policies and procedures.

Skilled in:

·         Strong interpersonal and communication skills.

·         Proficient with Microsoft Office, Excel, and Infinite Visions ERP Software.

·         Utilizing a variety of frameworks, platforms, and technology tools to enhance productivity and maintain appropriate records

·         Developing unique and innovative solutions to problems.

·         Establishing and maintaining effective working relationships with co-workers, vendors, students, parents, the general public and others having business with the school district.

·         Operating a personal computer utilizing a variety of software applications.

The noise level in the work environment is moderate to loud and can vary in temperature. The nature of this position is fast-paced and may occasionally be thought of as stressful. Through interaction with the public and other district employees, the employee may encounter different scents.
